Opportunity Description:

Job Posting – Receptionist & Administrative Support Volunteer Department: Administration Job Classification: Term – Volunteer Placement 10-25 hours per week Position Summary: The Receptionist & Administrative Support Volunteer contributes to the overall success of the YWCA Halifax and its programs by providing general reception and administration support under the direction of the Human Resources Coordinator and Facilities & Intake Manager. The volunteer must maintain client confidentiality while exercising respect for individuals and their circumstances in a marginalized community. The volunteer will answer phones and greet clients and visitors in a pleasant and professional manner, maintain secure building access, and perform other assigned clerical duties as detailed below.   Qualifications & Experience: High school diploma or equivalent. Excellent computer skills: proficiency with Microsoft Office Word and Excel preferred. Excellent communication skills, both written and oral; strong interpersonal skills. Excellent telephone skills; pleasant and professional personal conduct. Excellent organizational skills and ability to work in an unsupervised environment. Must be able to maintain confidentiality. Experience in an administrative field preferred. Experience operating a switchboard and other office equipment preferred. Experience with office related duties preferred. Experience working with individuals struggling with issues related to poverty is an asset. Knowledge of community resources and services is an asset. An understanding of appropriate interaction and conversations with clients, parents, staff and community is an asset. Standard First Aid and CPR training, Workplace Hazard Material and Information Systems safety training (WHMIS), are considered assets. Essential Duties of Position: Maintain a tidy and organized front office and foyer. Answer the phones and directs calls. Greet clients and visitors, announce and direct visitors to the appropriate department or personnel. Greet drop-in visitors and provide those visitors with general information on YWCA programs and services and refer them to the appropriate department as required. Maintain security by permitting visitors access to secure building areas only after authorization has been received. Process incoming mail: receive, open, stamp, sort, and deliver to mail slots. Process outgoing mail: stuff, stamp, and seal outgoing mail daily and give to postal carrier. Arrange courier for pick-ups as required. Receive and sign for deliveries. Provide a variety of administration supports and assist with special projects as assigned. Work safely at all times, observe all YWCA policies and procedures, identify workplace hazards and contribute to a safe and healthy work environment. Special Conditions of Employment: Must be willing to provide a current police record check and child abuse registry check within 30 days of volunteer placement.
